Getting Started
What is Voiczer?
Voiczer turns a spoken job description into a ready-to-send quote or invoice. Record what you did (or plan to do) on a job, and Voiczer transcribes it and drafts a document with line items pulled from your price book — you review and send.
How do I create my first invoice?
On mobile, tap Record on the bottom tab, describe the job out loud, and stop the recording — Voiczer will transcribe it and build a draft document for you to review and send. On the dashboard, you can also create a document manually from the Documents page if you'd rather not use voice capture.
What plans are available and what's the difference?
Voiczer has four tiers: Free, Starter, Pro, and Teams. Higher tiers unlock unlimited recordings, SmartPricing and receipt scanning, custom document themes, QuickBooks sync, and multi-user Teams accounts. You can see exactly what your current plan includes, and upgrade, from Settings → Billing on the dashboard.
Is there a free trial?
New accounts start on a trial period with access to paid features. You'll see your trial end date in Settings, and if it lapses without a subscription, some features are paused until you upgrade or reactivate.
Voice Capture & AI Extraction
How does voice-to-invoice work?
When you record a job description, the audio is transcribed and then read by an AI model that pulls out the customer, the work performed, and line items — matching them against your price book where it can. The result lands as a draft document for you to check before it goes anywhere.
What if the AI gets something wrong?
Nothing is sent automatically — every voice capture produces a draft you review first. You can edit the customer, line items, quantities, and prices before sending, exactly like you would with a manually created document.
Can I still create documents manually?
Yes. Voice capture is a shortcut, not a requirement — you can always build a Quote, Invoice, Note, or Variation from scratch without recording anything.
Documents & Invoicing
What types of documents can I create?
Voiczer supports Quotes (for work you're proposing), Invoices (for work to be paid), Notes (informal records), and Variations (changes to an existing quote or job).
What do the different document statuses mean?
Documents move through Draft (still editable, not yet sent), Sent (delivered to the customer), Accepted (customer approved a quote), Paid (invoice settled), and Void (cancelled).
Can customers pay online?
Yes — Voiczer integrates with Stripe so customers can pay an invoice online from the link you send them.
How do I send a document to a customer?
Open the document and use the Send action — it generates a shareable link and PDF the customer can view, and for quotes, accept, without needing an account of their own.
Price Book & Pricing Tools
What is the price book?
Your price book is the catalog of services and materials you charge for. Voiczer matches line items from voice captures against it, and you can add, edit, or organize entries from the Price Book page any time.
What is Price Check?
Price Check runs an AI review of your price book against typical market rates for your area, flagging items that look under- or over-priced so you can adjust with more confidence.
What is SmartPricing, and which plans include it?
SmartPricing suggests a price when a voice capture includes a line item that doesn't match anything already in your price book. It's included on Pro and Teams plans.
Expenses & Job Costs
How do I log a business expense?
Open Expenses (More → Expenses on mobile, or the Expenses page on the dashboard) and add the amount, category, and merchant. You can also record it by voice — say something like "add forty dollars for gas on the Miller job" and Voiczer creates the expense for you to confirm. Expense tracking is included on Starter and above.
Can Voiczer read a photo of a receipt?
Yes. When adding an expense, tap Scan a receipt and take a photo or pick a file — Voiczer reads the total, merchant, date, and category off it and prefills the form for you to check before saving. Receipt scanning is a Pro and Teams feature; on Starter you can still log expenses by hand or by voice. Very large photos are shrunk before they're read, so a normal phone snapshot is fine.
What expense categories are available?
Materials, Subcontractor, Fuel & mileage, Tools & equipment, Permits & fees, Insurance, Office & admin, and Other. Every expense gets a category so the totals and per-job costs break down usefully.
How do I see whether a job made money?
Link an expense to a job (from the expense form, or by naming the job when you record it) and the job page shows what you billed, what it cost, and the margin left over. Expenses with no job still count toward your overall totals — they just sit outside any single job.
Do expenses sync to QuickBooks?
Yes, if your account is connected to QuickBooks Online. Each expense is pushed across as a Purchase, and later edits or deletions update the same record rather than creating a duplicate. QuickBooks sync is available on Pro and Teams.
Customers, Jobs & Tasks
How do customer stages work?
Each customer is tagged Lead, Active, or Dormant so you can see at a glance who's a live prospect, an ongoing client, or someone you haven't worked with in a while. Voiczer updates this automatically as activity happens, and you can change it manually too.
What's the difference between Jobs and Tasks?
A Job represents a piece of work for a customer, usually tied to one or more documents. Tasks are smaller to-dos — they can stand alone or be attached to a job, useful for tracking steps within a bigger piece of work.
Can I import my phone contacts?
Yes, on the mobile app. From Contacts, you can import from your phone's address book and turn any of them into a Voiczer customer.
Team & Campaigns
Can I invite team members?
Teams plans support multiple users with roles (like Admin and Member) under one business, sharing the price book, customers and jobs. Invite teammates from the Team page on the dashboard.
Can I run email campaigns?
Email campaigns to your customer list are available on the dashboard (a CRM-tier feature). They aren't available in the mobile app yet — open the dashboard on the web to manage campaigns.
Billing, Notifications & Support
How do I upgrade or change my plan?
Go to Settings → Billing on the dashboard to see your current plan and upgrade, downgrade, or update your payment method.
Will I get text message updates?
Voiczer can send SMS notifications for certain account and job activity. If you no longer want to receive them, you can opt out from the link included in any text message you receive.
How do I contact support?
Use the Support page — pick a category (bug, billing, feature request, or general feedback), add a message, and our team will follow up by email.
Where can I read your Privacy Policy and Terms?
Both are linked in the footer of voiczer.com, and in the app from Settings → Legal on the dashboard or the More menu on mobile.
