Walk the rooms, talk it through, send the quote

A repaint quote is really a measuring exercise: nine rooms, ceilings in four of them, trim throughout, one wall that needs wallpaper stripped first. The reality of the job

Painting quotes go wrong in the walk-through, not in the maths. Here’s where they usually slip.

By the ninth room you’ve forgotten the hallway

Walking a whole house while holding ceiling heights, trim counts and which rooms need two coats is a memory test nobody passes reliably. The room that gets missed is never the big one — it’s the hallway, the closet interiors, or the garage door the customer assumed was included.

Prep is most of the labour and none of the visible work

Patching, sanding, caulking, masking and wallpaper removal can be more hours than the painting itself, but they don’t show up in the finished job. Quote prep as a vague allowance and you absorb every surprise; leave it off the written quote entirely and the customer thinks you padded the price.

“Two coats” means different things to you and the customer

Coverage disputes are the most common argument in painting, and they almost always trace back to a quote that said a number but not a scope — how many coats, over what primer, on which surfaces, and what happens when a dark red goes to white.

The paint order ties up your cash before you’re paid a cent

On a big repaint you’re fronting hundreds of dollars of material days before the first invoice goes out. Without a deposit on the job, your own cash is financing the customer’s colour choice.

Photograph the wall that was already scuffed before you start. Attached to the job record and — if you choose — shown on the customer’s own copy of the invoice, it ends the “was that already like that?” conversation without either of you having to remember.

Take a deposit before you buy the paint

Send the accepted quote with a card link or your own Zelle, Venmo or Cash App handle printed on it, so the material deposit lands before the paint order does — not three weeks later with the final invoice.

What it looks like on a real walkthrough

A homeowner wants the downstairs repainted. You walk it with them: living room, dining room, hallway, kitchen, plus all the trim and six doors. The dining room is currently dark green going to off-white, so it needs a primer coat the others don’t.

Instead of writing measurements on the back of an envelope, you talk each room through as you walk it.
